4.1.3 Data protection when applying via our online form

You will find an online "Apply" form on our job vacancies, which you can use to create an online application. You will be redirected to the applicant management system of d.vinci.de. After submitting your entries, your data will be transferred directly via an encrypted connection to the server of our external service provider (d.vinci HR-Systems GmbH, Nagelsweg 37-39, 20097 Hamburg), which collects and stores the data. Data protection and data security are regulated in an agreement between Stadtwerke Jena GmbH and d.vinci HR-Systems GmbH.

We would like to point out that data transmission over the Internet, e.g. by e-mail, may be subject to security vulnerabilities. Complete protection of data against access by third parties may therefore not always be guaranteed.

As part of the application process, only authorised employees of the Stadtwerke Jena Group have access to the information you provide and the documents you make available. Our employees are expressly obliged to handle personal data confidentially. Personal data will not be transferred to third parties outside our group of companies.
Your personal data will be stored for the duration of the application process. Your personal data will be automatically deleted four months after the end of the application process (receipt of a rejection). 4.2.1 Use of our customer portal

We provide customers of Stadtwerke Energie Jena-Pößneck GmbH with a self-service portal. Our technical service provider for our customer portal is ITC AG, Ostra-Allee 9, 01067 Dresden. If you wish to use our portal, you must first register with your customer number and your meter number. You will then be asked for your first name, surname and e-mail address. A link for assigning a password will be sent to this e-mail address. After assigning a password, you can log into our customer portal with this password and your e-mail address. Providing the above-mentioned data is mandatory; all other information can be provided voluntarily via the customer portal. 4.2.2 Arrangement of a callback 

Our call-back service gives you the opportunity to have our customer service staff call you back if you have any questions or requests regarding our energy range. To call you back, we need your telephone number and a preferred date and time. This data is collected via the virtual queue management system of virtualQ GmbH, Spittastraße 2, 70193 Stuttgart, Germany, and forwarded to us so that we can contact you. Data protection and data security are regulated in an agreement between Stadtwerke Jena and virtualQ GmbH.  We delete the data collected in this context after storage is no longer required, or restrict processing if statutory retention periods apply.

4.2.3 Chatbot

For general questions, we offer you the option of using a chatbot on our website to obtain information about energy and self-service solutions. Our technical service provider for this service is Trurnit GmbH, Putzbrunner Straße 38, 85521 Ottobrunn, Germany. No further information is required from you to use the chatbot. Log files and chat histories are stored for 30 days to optimise the chatbot. After 30 days, all data will be deleted. Data processing is carried out on the basis of our legitimate interests in accordance with Art. 6 para. 1 sentence 1 letter f) GDPR.

4.2.4 Online energy performance certificate

To register online as a new customer for the energy performance certificate, you must enter your first and last name, your address, your e-mail address and a password. You will then receive an e-mail from our processor SEnerCon GmbH, Hochkirchstr. 11, 10829 Berlin with a confirmation link with which you must first confirm your e-mail address. You can then log in with your e-mail address and password and use the service. Data protection and data security are regulated in an agreement between Stadtwerke Jena and SEnerCon GmbH. 4.2.5 Electromobility

4.2.5.1 Electricity charging card

To apply for an electricity charging card, you must enter personal data such as your first and last name, your address, your e-mail address and details of your electric vehicle in the form provided for this purpose. Once the application has been checked by Stadtwerke Energie, you will receive the charging card(s) by post. The registration data will be sent by e-mail to the e-mail address you have provided. You can use this data to register in the electromobility customer portal. We delete the data collected in this context after storage is no longer required, or restrict processing if statutory retention periods apply.

4.2.5.2 Transfer of the GHG quota for e-mobility drivers

To apply for your jenatur e-premium as a driver of an all-electric vehicle, you must complete the relevant online form on our website. We need the following information from you: First and last name, address, e-mail address, IBAN number and various vehicle details. After submitting the form, you will receive a confirmation of receipt by e-mail from our processor SLH Smart Living Hub GmbH, Nordstraße 10, 83253 Rimsting. Data protection and data security are regulated in an agreement between Stadtwerke Jena and SLH Smart Living Hub GmbH. 4.2.6 Storage of your data

When you use our services, we store your data required for the fulfilment of the contract, including details of the payment method, until you finally delete your access. We also store the voluntary data you provide for the duration of your use of the services, unless you delete it beforehand.

To prevent unauthorised access to your personal data by third parties, the connection is encrypted.

The personal data you enter is collected and stored exclusively for internal use by us and for our own purposes. When you register on our website or our contract processor, the IP address assigned by your Internet service provider, the date and the time of registration are also stored. This data is stored against the background that this is the only way to prevent misuse of our services and, if necessary, to enable criminal offences to be investigated. In this respect, the storage of this data is necessary for our security. 4.3 Services provided by Jenaer Nahverkehr and JES Verkehrsgesellschaft

4.3.1 Use of our online forms

The journey planner is operated by VMT GmbH. The system was created by HaCon Ingenieurgesellschaft mbH, Lister Straße 15, 30163 Hanover.

4.3.4 Use of the subscription portal

The subscription portal is used to conclude contracts and manage subscriptions in accordance with the termsof the  general data protection regulation of the Jenaer Nahverkehr. The subscription portal was developed by Lufthansa Industry Solutions GmbH & Co. KG, Siemensdamm 62, 13627 Berlin, Germany.

4.4 Services of Jenaer Bäder GmbH

4.4.1 Use of our online forms

When you contact us by e-mail or via a contact form, the data you provide (your e-mail address, surname and first name and your telephone number and address) will be stored by us in order to answer your questions. 4.4.2 Application for a filming permit

If you wish to carry out filming or filming at Jenaer Bädergesellschaft, you can submit a corresponding application. This requires you to provide personal data. We need this data in order to process your request and contact you. 4.5 Services of jenawohnen GmbH

4.5.1 Use of our contact forms

When you contact us by e-mail or via a contact form (e.g. general contact form, complaint form, commercial premises request form, damage report form, animal licence form, wohnenplus request, request for certificates), the data you provide (e.g. your e-mail address, your name and telephone number if applicable) will be stored by us in order to answer your concerns and questions. We delete the data arising in this context after storage is no longer required, or restrict processing if statutory retention periods apply.

4.5.2 Accommodation search form for interested parties

We use the online tool of wohnungshelden GmbH, Grafinger Straße 6, c/o Werk 1, 81671 Munich (hereinafter referred to as wohnungshelden) to manage prospective tenants. When you contact us via our interested party form to search for accommodation, wohnungshelden receives the personal data you provide, which wohnungshelden processes on our behalf and transmits to jenawohnen GmbH. Your data will be processed and deleted in accordance with the provisions of the GDPR and other statutory provisions. The data collected in this context will be deleted after storage is no longer necessary (at the latest 6 months if no contract has been concluded in response to your enquiry), or processing will be restricted if there are statutory retention periods.

4.5.3 Apartment detail search form

We use the online tool of wohnungshelden GmbH, Grafinger Straße 6, c/o Werk 1, 81671 Munich (hereinafter referred to as wohnungshelden) for enquiries about specific flats via the respective form. When you contact us via our form for a detailed flat search, wohnungshelden receives the personal data you provide, which wohnungshelden processes on our behalf and transmits to jenawohnen GmbH. Your data will be processed and deleted in accordance with the provisions of the GDPR and other statutory provisions. The data collected in this context will be deleted after storage is no longer necessary (at the latest 6 months if no contract has been concluded in response to your enquiry), or processing will be restricted if there are statutory retention periods.

4.5.4 Registration for the consumer information portal (EED)

Your data submitted in the form for registering for the consumption information portal (EED) is first written to a csv file and saved on an FTP server. The data is then transmitted to the heat metering service providers commissioned in each case so that they can provide you with access to the portals to receive your consumption information and make the consumption data available for your information. We delete the data arising in this context after storage is no longer necessary or restrict processing if there are statutory retention obligations.

4.5.5 Form for adjusting advance payments for operating costs

If you send us data using the form provided for adjusting advance payments for operating costs, this will be forwarded to the specialist department (rent/operating costs) so that the adjustment corresponding to your request can be made. You will then receive written confirmation of your requested adjustment. 4.5.6 Use of immoviewer for 360° flat tours

If you use the 360° flat tour option offered on our website, this service is provided by 45info GmbH, Karl-Liebknecht-Straße 21-22, 14482 Potsdam (Babelsberg) (hereinafter referred to as immoviewer) on behalf of jenawohnen GmbH. This data is stored and analysed by immoviewer solely for technical reasons to ensure the trouble-free operation of the website and to improve the service. This is done anonymously, without personally identifying the user of the site. User profiles may be created using a pseudonym. 7.1 Data protection provisions about the application and use of Matomo

We have integrated the Matomo component (with anonymisation function) on this website. Matomo is an open source software tool for web analysis (One Microsoft Place, South County Business Park, Leopardstown, Dublin 18 D18 P521, Ireland Server location Germany West Central). Web analysis is the collection, collation and evaluation of data about the behaviour of visitors to websites. Among other things, a web analysis service collects data about the website from which you came to a website (so-called referrer), which subpages of the website were accessed or how often and for how long a subpage was viewed. Web analysis is mainly used to optimise a website and for cost-benefit analysis of Internet advertising.

The software is operated on the server of Stadtwerke Jena at Microsoft Azure of the controller; the log files, which are sensitive under data protection law, are stored exclusively on this server. The purpose of the Matomo component is to analyse the flow of visitors to this website. The controller (Stadtwerke Jena) uses the data and information obtained, among other things, to analyse the use of our website, to compile online reports for us that show the activities on our website, and to provide other services related to the use of our website.

This helps us to constantly improve the website and its user-friendliness. These purposes also constitute the legitimate interest in the processing of data in accordance with Art. 6 para. 1 lit. f GDPR. By anonymising the IP address, the interest of users in the protection of their personal data is adequately taken into account.

Matomo places a cookie on your information technology system. What cookies are has already been explained above. By setting the cookie, Stadtwerke Jena is enabled to analyse the use of this website. Each time you access one of the individual pages of this website, which is operated by the controller and on which Matomo components have been integrated, the Internet browser on your information technology system is automatically prompted by the respective Matomo component to transmit data to our server for the purpose of online analysis. As part of this technical process, we obtain knowledge of personal data, such as your IP address, which we use, among other things, to trace the origin of visitors and clicks.

The Matomo software is configured in such a way that the IP addresses are not stored in full, but 2 bytes of the IP address are masked (e.g. 192.168.xxx.xxx). In this way, it is no longer possible to assign the shortened IP address to the calling computer.

The data subject may, as stated above, prevent the setting of cookies through the website at any time by means of a corresponding adjustment of the web browser used and thus permanently deny the setting of cookies. Such a setting of the Internet browser used would also prevent Matomo from setting a cookie on the information technology system of the data subject. In addition, a cookie already set by Matomo can be deleted at any time via an Internet browser or other software programmes.

Furthermore, the data subject has the option of objecting to and preventing the collection of data generated by Matomo relating to the use of this website. 7.2 Google Adwords Conversion of Stadtwerke Energie Jena-Pößneck

7.2.1 Use of Google Adwords Conversion

On this website, we use the services of Google Ireland Limited, Gordon House, Barrow Street, Dublin, D04 E5W5, Ireland to draw attention to our attractive offers with the help of advertising material (so-called Google Adwords) on external websites. We can determine how successful the individual advertising measures are in relation to the advertising campaign data. In this way, we pursue the interest of showing you advertising that is of interest to you, making our website more interesting for you and achieving a fair calculation of advertising costs.

7.2.2 Transmission of information

These adverts are delivered by Google via so-called "ad servers". For this purpose, we use ad server cookies, which can be used to measure certain parameters for measuring success, such as the display of adverts or clicks by users. If you access our website via a Google advert, Google Adwords will store a cookie on your PC. These cookies generally lose their validity after 30 days and are not intended to identify you personally. We currently use the following social media plug-ins: Facebook, Instagram, Twitter and LinkedIn. We use the so-called two-click solution. This means that when you visit our website, no personal data is initially passed on to the providers of the plug-ins. You can recognise the provider of the plug-in by the marking on the box above its initial letter or the logo. We give you the option of communicating directly with the provider of the plug-in via the button. Only if you click on the marked field and thereby activate it will the plug-in provider receive the information that you have accessed the corresponding website of our online offering. We have integrated YouTube videos into our online offering, which are stored on www.YouTube.com and can be played directly from our website.
